Quick answer

A maintenance plan puts your ice machine on a fixed visit schedule so small problems are caught before they stop production. Cool Aid's Planned Maintenance Agreement covers the 10-point refrigeration service on every visit; cleaning, descaling and sanitizing to the manufacturer's interval can be added to your agreement. Most machines need two to four visits a year depending on water hardness and setting.

Our Planned Maintenance Agreement

Cool Aid's Planned Maintenance Agreement puts your listed equipment on a fixed visit schedule. You choose one of four plans:

PlanVisits
Plan AMonthly (12 a year)
Plan BBi-monthly (6 a year)
Plan CQuarterly (4 a year)
Plan DSemi-annual (2 a year)
  • Equipment: the plan covers the units listed on your agreement, at the location listed.
  • Price: a set cost for each service visit, quoted for your equipment list.
  • Term: one year from the first scheduled maintenance visit.

Our 10-point refrigeration service

On every plan visit, each refrigeration unit on the agreement gets this 10-point service:

  1. Install gauges and check pressures
  2. Check voltage and amperage
  3. Check contactor points
  4. Check all electrical connections
  5. Lubricate all moving parts
  6. Clean condenser coil
  7. Check thermostat control
  8. Check defrost time clock operation
  9. Check defrost heater operation
  10. Check unit inside temperature

Ice machine cleaning, descaling and sanitizing are not part of the printed 10-point checklist. Ask us to add them to your agreement so they happen at the manufacturer's interval.

How many visits a year

SituationTypical schedule
Soft water, clean environment, light useManufacturer's interval (often twice a year)
Hard water (e.g. groundwater-supplied South Bay sites)Three to four times a year
Bars, bakeries, breweries (yeast and sugar in the air)Three to four times a year
Healthcare and high-volume dispensersPer facility policy; often quarterly

What a full ice machine service involves

  1. Review the fault history and your notes.
  2. Clean, descale and sanitize to the manufacturer's procedure, with food-zone parts removed.
  3. Clean the condenser coil and check the fan.
  4. Change the filter cartridge if due.
  5. Check the water valve, pump, sensors, bin control, drain and gaskets.
  6. On flakers, check auger load, bearings and the gear motor.
  7. Check refrigeration performance if cycle times are off.
  8. Leave a dated record and note anything that needs repair, with a quote.

Manufacturer cleaning minimums

BrandMinimum
ManitowocDescale and sanitize every six months
ScotsmanSanitize at least every six months; more often recommended
Ice-O-MaticAt least every six months; no more than monthly
FollettSemi-annual clean, descale, sanitize; weekly drain; monthly air-cooled condenser
HoshizakiModel-specific; e.g. at least yearly on KM-61/101/151

Why it pays off

  • Scale and dirty condensers cause many slow-ice and harvest calls. See slow production.
  • Slime and mold are an easy inspection finding. See slime and mold.
  • A machine that is cleaned on schedule tends to last longer; a 2023 industry analysis put average life at seven to eight years, with well-maintained machines lasting much longer.

Combine with your other refrigeration

Many operators put walk-ins, reach-ins and ice machines on one plan so a technician checks everything in one visit. See the commercial refrigeration maintenance schedule.

Water hardness sets your interval

SFPUC water averaged 62 mg/L hardness in 2025 and EBMUD plants sampled 16–64 mg/L, so many San Francisco and East Bay sites do well on the manufacturer's minimum. Zone 7 groundwater averaged 318 mg/L and Santa Clara County groundwater averages over 250 mg/L, so many South Bay and Tri-Valley sites need three or four visits a year. See hard water by area.

Who benefits most

  • Operators on hard groundwater-supplied water.
  • Bars, breweries, bakeries and coffee shops.
  • Hospitals, clinics and care homes with nugget dispensers.
  • Hotels and multi-site operators with several machines.
  • Anyone who has had a health inspection finding on an ice machine.

Flakers and dispensers need extra attention

Nugget and flake machines concentrate minerals on the auger, and dispensers have chutes that stay damp. Ask us to include auger and bearing checks and dispenser chute cleaning in your agreement. See flaker machines and dispensers.

What staff do between visits

  • Keep the scoop outside the ice and the bin door closed.
  • Wipe the bin door, exterior and dispenser nozzles daily.
  • Clean the condenser grille when dusty (Follett lists monthly for air-cooled units).
  • Check the drain weekly.
  • Note any change in ice quality, noise or production.

Seasonal timing

Schedule one visit in late spring, before summer heat and peak ice demand, and one in fall. Hard-water and high-yeast sites add visits in between. A clean condenser and descaled evaporator going into summer help prevent slow-ice problems and breakdowns in hot months.

Health inspection support

The FDA Food Code requires ice makers and bins to be cleaned at the manufacturer's frequency or often enough to prevent soil and mold (§4-602.11(E)(4)). If cleaning is part of your agreement, each visit gives you a dated cleaning on that schedule to show an inspector.

Brands covered

Manitowoc (Indigo NXT, NEO), Hoshizaki (KM, F, DCM), Scotsman (Prodigy, nugget and flake), Ice-O-Matic (CIM, GEM, MFI), Follett (Horizon Elite, Maestro Plus, Symphony Plus) and other brands. One plan can also include walk-ins, reach-ins and prep tables.

Keep records with the manual

Store each visit's record next to the machine's manual so staff and inspectors can find both.

When to call a technician

If your machine has not been professionally cleaned within the manufacturer's interval, start with a one-time service and set the schedule from what the technician finds.

Open 7 days, 8 AM to 5 PM, with emergency service until 9 PM. CA Lic. #776244.
